A shared document is matched against your project's real requirements automatically, and shows up as a real record ready for review — not a copy, a link back to the one document the subbie actually controls.

Add a new required document to a project after the share already happened, and an already-granted document that satisfies it links in on its own — no need to ask the subbie to re-upload or re-share.

How this fits Australian WHS compliance

A shared vault document still goes through the same review and, where a live register exists, the same licence verification every other upload does — sharing skips the re-upload, never the check. The audit trail always points back to the one document the subcontractor actually controls, so there's never a question of which copy is current.

Common questions

Does this mean I never have to check a shared document?

No — a Novato Vault-shared document lands in your Review queue the same as any upload, showing as "awaiting verification" until you or an automated register check clears it. Sharing removes the re-upload step, not the review.

Can a subcontractor share with one GC and not another?

Yes — access is granted per GC, and per document within that GC. A subbie working for several contractors decides exactly what each one can see.

What happens if a subbie revokes access?

The document stops being available to link against new requirements. If it's already covering an active project assignment, revoking is blocked until that assignment ends, so a live compliance record can't disappear out from under a project mid-way through.

Does a new project requirement automatically pull in a document that was shared earlier?

Yes — adding a requirement to an existing project re-checks every already-granted document from that subcontractor's vault, and links in anything that satisfies it, without anyone needing to re-share.
